Look at the field, not only the website’s general file rules
An application may accept PDFs for supporting documents while requiring an image file for the portrait. Those upload fields do different jobs. A general page saying PDF is supported does not mean that a passport-photo field will accept one.
For example, US visa digital-photo instructions specify JPEG. The US online passport-renewal page also lists image formats for its photo field, rather than PDF. Check the instructions immediately beside the relevant upload control before packaging your photograph into a document.
Keep the portrait separate from the application paperwork
Do not place the photograph on a blank page or combine it with other evidence unless the application tells you to. A portrait embedded in a PDF may have been scaled or compressed, and the receiving system may not extract it as the intended image.
Use the original image export where an image is requested. Keep any forms, letters and scans as separate files with names that make their purpose clear. This also reduces the chance of accidentally submitting a print sheet containing four faces in a field that expects one portrait.
A PDF print sheet serves a different purpose
A print-ready document may define page dimensions and position several photographs on a sheet. That can be useful for printing, but it does not make the whole sheet a digital application photo. Select the single-image output for an upload that expects a portrait.
Before sending a PDF to a printer, check its intended paper size and scale. Before sending an image to an application, check the pixel dimensions and file-size range. Keeping those two checklists separate prevents a correct file for one task from becoming the wrong file for the other.
Retrieve the source instead of capturing the page
If the only copy you received is a PDF, ask the photographer or service for the appropriate image file. Extracting an embedded image may be possible, but it does not guarantee that the PDF contains the full-quality original. A screenshot of the page is an even less reliable substitute.
When the source cannot be recovered, decide whether a new photograph is needed for that route. Do not assume that changing the container format can resolve a low-resolution image or an impermissible scan. The final file should match both the upload field and the document’s photo requirements.
