Read the error before changing the photo

A file that will not transfer and a photo that fails a suitability check are different problems. Record the exact message, including any stated limit. If the form says the image is too large, find out whether it means bytes or pixel dimensions before compressing it.

Make one change at a time and keep the original. Randomly changing the crop, format and quality together makes it difficult to tell which adjustment helped. It can also damage an otherwise useful image while leaving the actual problem untouched.

Check the file you selected

Confirm that you chose the portrait rather than a print sheet, screenshot or PDF. Read its actual file type and pixel dimensions from the saved copy. A filename ending in .jpg is not enough if someone only renamed a different format.

Compare the file size with both the minimum and maximum, if the form gives a range. Do not use a limit copied from another application. US visa image guidance and US online passport renewal, for example, specify different upload limits and accepted formats.

Separate a technical error from a photo-quality warning

An unsupported-format message calls for a compatible export. A face-position warning calls for reviewing the framing or following the portal’s crop instructions. A blurred photograph usually needs a better source; lowering compression cannot restore focus that was missing in the camera file.

If the tool identifies the background, compare that warning with the authority’s editing rules. Do not assume that replacing the background is permitted simply because it may satisfy a software check. A new original taken against the correct background may be the appropriate solution.

Recognize when the portal may be the problem

If a supported, correctly sized file never produces a preview, check the portal’s own help for supported browsers, maintenance notices and session problems. Save your application through its normal controls before refreshing or changing devices. Avoid repeatedly submitting duplicate applications while investigating an image field.

If support is needed, provide the error wording, the stage where it occurs and the file properties. Do not send account credentials or identity documents to an unofficial helper. A clear description of the failure is more useful than a series of increasingly compressed photos.
